CASE STUDY  ·  EHCP QUALITY

Every EHCP quality assured.

In five weeks, inside Teams.

A council needed to improve the quality and consistency of its EHCPs, ensuring children's needs were accurately reflected in their plans. We built an AI solution that gives caseworkers immediate feedback on their plans while helping managers identify quality gaps and target improvements across the service.

Objectives and impact

We were commissioned to improve the quality and consistency of EHCPs, helping the council to produce better plans.

OBJECTIVE 01
Assess every plan against the council's own quality framework.

IMPACT

5 weeks

to implement quality assurance across all EHCPs, using the council's existing Microsoft environment to keep sensitive data within its systems.

OBJECTIVE 02
Help caseworkers improve plans before they are submitted.

IMPACT

45 seconds

to assess an EHCP and provide actionable feedback through Microsoft Teams, helping caseworkers improve their plans before submission.

OBJECTIVE 03
Help managers identify quality gaps and target improvements across their teams.

IMPACT

50+ caseworkers

receiving evidence-based feedback and targeted individual or group training, supported by regular reviews and updates to the quality assurance framework.

How we did it, and what we found

We worked with managers and caseworkers to co-design, test and embed a quality assurance solution that the council could manage independently.

Co-designed with the teams

3 weeks

to co-design, test and refine the quality framework, Teams agent and Power BI reporting with managers and caseworkers.

Trained caseworkers

1 hour

to train groups of 10 caseworkers through Teams, with each person testing the solution in their own environment before completing the session.

QA framework owned by managers

39 criteria

defined by managers and updated independently after each review cycle, using assessment findings to continuously improve quality standards.

Fully owned by the council

£0

No ongoing supplier subscription. The solution is handed over to the council's IT team, with only Microsoft licensing and AI usage costs.
